build the systems that make businesses work.

Milad Ebrahimi is an operator working at the intersection of operations, business systems, process improvement, marketing, and applied AI — not as separate services, but as one continuous practice.

A working practice, documented as it happens — not an agency, not a portfolio site.

The idea

Every business is made of systems.

People, processes, information, decisions, tools — that’s what a business actually runs on. When those systems are unclear, work slows down and fragments: the same question gets asked twice, the same delay repeats, nobody quite owns the fix. The work here starts with understanding how a business actually runs, then rebuilding the specific parts that create friction.

Systems I’ve built

Five real systems, built to solve a specific operational problem.

01

Operations Dashboard

Tathmeer Properties · 2026 · Details redacted

Problem

Getting a straight answer to "how are we doing across everything" meant manually reassembling separate reports every time the question came up.

  • Google Sheets
  • Google Drive
  • Odoo (integration in progress)

Evidence

Detailed performance figures for this work exist in internal company documents and aren't published here, since they're confidential.

02

Material Request System

Perla Engineering · 2026 · Details redacted

Problem

There was no single, trusted record of a material request from the moment it was raised to the moment it was approved and delivered. Cost, urgency, and approval level all had to be worked out by hand, every time.

  • Google Forms
  • Google Sheets
  • Google Apps Script
  • Google Drive

Evidence

No formal before/after measurement exists yet for time saved or request volume — that evidence is still in development.

03

Daily Site Reporting System

Perla Engineering · 2026 · Details redacted

Problem

Daily activity on site wasn't being captured in a form that could reliably feed weekly or monthly reporting — so reporting further up the chain depended on reconstructing what happened after the fact.

  • Google Forms
  • Google Sheets
  • WhatsApp
  • Google Drive

Evidence

No formal adoption or time-saved metric exists yet — that evidence is still in development.

04

Project Operations System

Perla Engineering · 2026 · Details redacted

Problem

There was no single reference for what the operations role owned each day, what decisions it could make alone, and when something needed to be escalated.

  • Google Sheets
  • WhatsApp

Evidence

This is a process and accountability system rather than one with its own standalone before/after metric — its effect shows up in the consistency of the systems it coordinates, including daily site reporting and material request tracking.

05

Marketing & Lead Operations System

Perla Engineering · 2025

Problem

Leads risked falling through the cracks between being generated and being acted on, and content was being posted without a consistent process connecting it to lead capture.

  • Google Sheets
  • WhatsApp
  • Social media

Evidence

A separate, CV-documented result from this period — a 30% increase in lead generation — exists, but isn't confirmed to be specifically attributable to this system versus marketing activity more broadly. It's presented on its own under Results rather than claimed here.

Every system below was designed and built firsthand. Where a measurable result exists, it’s shown. Where it doesn’t yet, that’s stated directly — nothing here is invented.

How I work

The same method, every time.

  1. 01

    Observe

Watch how the work actually happens — not how the org chart says it should.

  2. 02

    Map

Trace the real flow of people, information, and decisions, and find where it breaks.

  3. 03

    Design

Design the smallest system that removes the friction — not the most impressive one.

  4. 04

    Build

Build it with tools the team already trusts, so adoption isn’t a second project.

  5. 05

    Improve

Treat the first version as a draft. Systems get better by being used, not by being finished.

Areas of practice

Seven lenses on the same underlying problem.

  1. 01 / 07

    Operations

    Practice

The day-to-day mechanics that keep a business running — and the discipline of making them run better. Current, hands-on work.

  2. 02 / 07

    Business Systems

    Practice

The tools, workflows, and data structures a business depends on, designed to scale without breaking. Five real systems built to date.

  3. 03 / 07

    Process Improvement

    Practice

Finding where work slows down or breaks, and redesigning it so it doesn’t.

  4. 04 / 07

    Marketing & Growth

    Experience

Content, lead capture, and campaign work across three roles — the discipline that preceded and now runs alongside the operations practice.

  5. 05 / 07

    Productivity

    Focus

Systems for individuals and teams to do focused, high-quality work — the subject of three published books, and a recurring thread through the operations work itself.

  6. 06 / 07

    AI & Digital Transformation

    Focus

Applying new tools deliberately — where they change outcomes, not just where they’re fashionable. An active interest, applied where it earns its place.

  7. 07 / 07

    Construction / Real Estate Operations

    Experience

Operational systems built inside a real construction/property portfolio — reporting, material requests, and site-level process.

These figures come directly from the CV and describe marketing performance during specific roles. They are not claimed as outcomes of the systems work above — no evidence connects the two, so they’re kept separate.

Ideas

Writing in progress — on operations, systems, and where AI actually helps.

Nothing below is a finished, published piece yet — these are the topics currently being written.

  • Writing: Process improvement isn't just efficiency

A topic in development — why the goal of fixing a broken process is rarely just 'faster.'

  • Writing: Systems thinking for small, fast-moving teams

A topic in development — why small teams need lightweight systems earlier than they think.

  • Writing: Where AI actually saves time in operations

A topic in development — separating genuine operational leverage from novelty when applying AI to existing workflows.

A note

M.E.

This site is a working home base more than a highlight reel — a place to track real systems as they’re built, and to think in public about operations, process, and the tools reshaping both.

Speaking

Topics I speak and write about.

No past speaking engagements are claimed here — these are subjects open for conversation, talks, or writing.

  • Building practical business systems

What it actually takes to turn a manual process into a system people trust.

  • Making operations visible

Why most operational problems are visibility problems first.

  • Process improvement

Finding friction before proposing a fix.

  • Productivity as a system

Treating personal and team productivity as something designed, not willed.

  • AI in real work

Where AI tools change an outcome versus where they’re just novel.

  • Marketing systems

Connecting content and lead generation to a process, not just a campaign.

  • From fragmented work to structured operations

The path from ad hoc effort to a system that scales past one person.

If you’re building something, fixing something, or trying to make the work work better — let’s talk.

A short note is enough to start.
